Additional Job Description Information Regarding Roles

Treasurer:

The Treasurer is primarily responsible for custody and safeguarding of the program's cash. This includes but is not limited to maintenance of bank accounts, collection of member tuition and payment of third-party billings. In addition to routine cash flow activities, this position maintains relationships with our external bookkeeping and audit firms, who provide accounting and tax filing services on behalf of the program.

Full responsibilities include:

  • Maintain and monitor the organization’s financial records.
  • Ensure proper financial controls are in place to safeguard assets
  • Collaborate with board members to prepare the annual budget.
  • Monitor actual performance against the budget and provide regular updates.
  • Prepare and present financial statements to the board.
  • Ensure compliance with legal and regulatory reporting requirements
  • Oversee the organization’s bank accounts and financial transactions.
  • Work with fundraising teams to provide financial clarity on campaigns and donor contributions.


Although the technical accounting and tax expertise of this role are to be outsourced to third parties, the ideal treasurer should have the following qualifications:

  • Proficiency in accounting, bookkeeping, or finance.
  • Familiarity with not-for-profit accounting standards.
  • Strong organizational and analytical skills.
  • Integrity and commitment to the organization’s mission.
  • Effective communication skills to explain financial matters to non-financial stakeholders.

Secretary:

The Secretary is responsible for-

  • Taking the meeting minutes and attendance, preparing the meeting agenda (with input from other members), setting the meeting date, sending frequent reminders and making reservations for in person meetings
  • Sending program correspondence and being the first point of contact for program emails and Facebook Messenger questions
  • Assisting with Facebook advertising and events, weekly game highlights and occasional website content updates
  • Assisting the Auxiliary Director with advertising for events and sponsor highlights


Goalie Coordinator:

The position is responsible for coordinating goalie training and goalie equipment for the program. The program runs both on ice training and sessions through a third party (Ed Walsh Goalie School @ TC's training center). The coordinator is responsible for ensuring the third party sessions are booked, negotiating the price, signing the contract, and coordinating the schedule for participating goalies. For on-ice training the Goalie Coordinator works with Crusader's Coaches to run a monthly training. The goalie coordinator is responsible for storing, tracking, and distributing all goalie gear for 8U and 10U teams. This includes making sure that the gear is in good working order and replacing if necessary.

Auxiliary Director:

The Auxiliary Director oversees fundraising and event planning. We are currently working on revising this role as it is a lot of work for one person. The longterm plan is to have different event coordinators with the Auxiliary Director overseeing Fundraising for the organization.

Fundraising - We are currently working on a new sponsorship program for 2025.

The Auxiliary Director is responsible for working with a subcommittee to obtain monetary or item donations to support fundraising events
